The payroll run takes each employee’s salary from the job profile, absences and overtime from attendance, and unpaid leave from leaves, and calculates GOSI by employee category. You review and adjust it before approval.
In “Payroll runs” press “Enable payroll”. It creates the four posting accounts if your chart does not have them: 5201, 5202, 2103, and 2104. Late deduction is off by default.
Press “New run” and choose the year, month, and branch or all branches. It builds a line for each employee in service that month, with the salary from their job profile.
Each employee has basic, allowances, overtime, absence, GOSI, and net. An absence day = full salary ÷ 30, and an overtime hour = hourly wage + half the basic hour. GOSI is on basic plus housing, capped at 45,000.
Press “Edit” on a line to change absence days, overtime, or a manual adjustment such as a bonus, with its reason. It shows “Manually edited”, and your change stays when you press “Recalculate”.
Saudis on the previous scheme: 9.75% employee and 11.75% company. The new scheme: annuities 9% rising 0.5% each July from 2025 up to 11%, plus SANED 0.75% on each side and 2% occupational hazards on the company. Non-Saudis: 2% on the company only.
No. A draft writes no entry and can be deleted or recalculated. Posting happens at “Approve and post”.
Yes, the “Custody recovery” field on the line reduces the net and is posted to the employee custody account.
Approve the run to post the accrual, then pay it from the bank account, and every employee sees their payslip on their phone.
Step by step: sign in to the Fatoora portal, create the activation code from “Onboard new solution unit/device”, copy it, then paste it in FOXIRA to complete the ZATCA Phase 2 link.
Step by step: link your branch with ZATCA, add your customer, pick the product from inventory, issue the invoice, and send it to your customer on WhatsApp.
Step by step: open the approved tax invoice, issue a credit note for its full value with a return reason, send it to ZATCA, and return the quantities to inventory. Plus how the amount is handled when the invoice is paid.
Step by step: upload the supplier invoice and AI reads it, save it as a draft and approve it, or upload a whole folder and review each invoice beside its paper.
A category groups similar products and carries their suggested profit margin and the accounts their entries go to.
Add a warehouse with its name, code, and branch, and make it the branch default if you like. A warehouse cannot be deactivated while it holds stock.
A product tracked by quantity: name and category, barcode, selling unit, then pricing.
From “Users”, open the employee, enable the inventory permissions they need, then save.
An invoice whose quantity exceeds warehouse stock is rejected with a message naming the product and what is available. Bring the goods in first, then sell.
Turn off “Allow free-text items” in POS and inventory settings, so the branch only accepts registered products and services.
Turn off “Allow seller to change the price” for the branch, or turn on “Lock price” for one product, so it sells only at the approved price with no discount.
Minimum = cost + minimum margin. Turn on price limits and any discount that drops the net price below it is rejected.
The opening balance brings in goods that existed before the system with their quantity and cost, posting inventory debit and capital credit.
A serial-tracked product: warranty, a number per piece, manual entry, and attributes recorded with each piece.
An area product: an automatic number per piece, square-meter unit, and attributes without dimensions, since dimensions are entered on receipt.
A cut-from product: no tracking, linear-meter unit, and each roll a lot with its length on receipt.
A fixed-price service: item type service, so tracking and unit lock, then a fixed-amount price.
A recipe service: components and default quantities, deducted from stock oldest-first on every sale.
A detailed purchase invoice brings goods into the warehouse on approval, posting inventory debit and supplier credit.
From the purchase line open the lots window and enter size and pieces per lot, or a serial per piece.
A purchase return (debit note) returns a quantity from an approved purchase invoice: it leaves stock and its entry is reversed.
Choose the warehouse, then the quantity or serials. The system takes the oldest lots first and posts cost of sales 5102 debit and 1105 credit.
Create a transfer draft with source, destination, lot, and quantity, then approve it to move the goods and post the inter-branch entry.
An adjustment enters the counted quantity, so the system finds the shortage or surplus and posts it to the inventory shrinkage account.
Lot cost adjustment adds shipping and customs or removes a supplier discount from a shipment cost, and posts its entry automatically.
Stock balances: each product’s quantity per warehouse, with low (5 or less) and out of stock, filtered by warehouse and status.
The movement ledger records every receipt, issue, transfer, and adjustment with lot, cost, and reference, and stock balances come from it.
Every inventory operation posts its entry to “Journal Entries”: purchase, sale, opening balance, count, lot cost, transfer.
Add the employee with their mobile, create the shift and attendance point and print its code, assign them in the job profile, then invite the employee to the portal to activate and scan.
Create your departments and each department manager, then open the employee and fill the job profile: work and contract, then salary, allowances, and GOSI category.
Add an employee document with its type, number, expiry date, and file, then follow everything expiring within your chosen period from “Expiring documents”.
Create an invite link from the employee page and send it on WhatsApp. The employee activates the account from the phone with a password and the device is linked. Any other device needs your approval.
Create a shift with start, end, grace, and rest days, then an attendance point with its location and radius, print its code, then assign the shift and point to the employee.
A scan from outside the point radius is refused with its reason, and from inside it records the check-in. The last scan of the day is the check-out.
Follow today’s statuses, correct the attendance of someone who forgot their phone with a written reason, review refused attempts, then open the monthly report.
The employee requests leave with type and dates from the phone, the manager approves it in “Leave requests”, the balance changes, and the employee sees the result.
Review leave types and adjust them to your policy, follow each employee’s balance, and add or deduct days with a written reason.
Create the project with its name, customer, and dates, then add the bill of quantities items with unit, quantity, and unit price, and the contract value builds from the items.
Editing an item does not change its quantity or price. Add a change order with a positive quantity to increase or a negative one to reduce, and the item quantity and contract value change.
Choose the project and subcontractor, select the assigned items with their quantities and cost price, and the retention, then save the contract as active so it accepts certificates.
Choose the project, subcontractor, and contract, type the quantity done this period, and the certificate calculates retention, VAT, and net. Save it as draft, then approve it to post the entry.
Choose the project and the customer and contract items with change orders appear, type the quantity done this period, then approve the certificate.
